SharePoint Advanced Management: Coverage Gaps and Where TeamsFox Fits

SharePoint Advanced Management: why M365 coverage gaps still leave tenants exposed
  • July 13, 2026

Microsoft’s new SharePoint add-on tightens governance inside one workload. Here’s what stays exposed everywhere else.

SharePoint Advanced Management stats: 1 workload covered, $3 add-on cost, TeamsFox 40% storage savings
SAM governs a single workload for $3 extra per user. TeamsFox covers the whole tenant and cuts storage costs by 40% on average.

1. What SharePoint Advanced Management Actually Does

Microsoft launched SharePoint Advanced Management (SAM) as a purpose-built add-on for admins who need to secure, govern and clean up SharePoint and OneDrive. It bundles nine capabilities into one console: site lifecycle policies, oversharing detection, restricted content discovery, and metadata visibility across names, paths, and URLs.

The newest piece is the Content Management Assessment hub. It runs a standard set of reports across SharePoint Online, flags sites that need attention, and gives admins a head start before they switch on Microsoft 365 Copilot. That last point matters: SAM was built with Copilot readiness in mind, because an over-permissioned SharePoint site becomes a much bigger problem the moment Copilot can summarise its contents in a chat answer.

For a tenant that lives mostly in SharePoint and OneDrive, this is a genuine step forward. Microsoft has finally given admins a single place to see sharing exposure and clean it up before it becomes an incident.

2. The Real Limits: What SAM Does Not Touch

Read the fine print and the scope narrows fast. SharePoint Advanced Management only governs SharePoint Online. It does not extend to Microsoft Teams, Power Platform, Copilot Studio agents, or any other Microsoft 365 workload. If you license it for every user in the tenant, expecting one console to cover your whole governance picture, you will be disappointed.

That is not a criticism of the engineering. SAM does what its name says: it manages SharePoint. The problem is that almost nothing in a modern Microsoft 365 tenant stays inside SharePoint anymore.

SAM tells you what is happening inside SharePoint. It has nothing to say about Teams, Power Platform, or the agents now running across your tenant.

3. Where the Governance Gap Opens Up in Practice

Every Teams channel writes its files to a SharePoint site behind the scenes, but the sharing and membership model that governs access runs through Teams, not through SAM’s reporting. A Power Automate flow can move sensitive content between sites with a permission model SAM was never built to evaluate. And Copilot, once switched on, will surface anything a user can technically reach across the tenant, regardless of whether SAM happened to flag that site in its last report.

The result is a governance picture with one well-lit room and several dark ones next to it. IT teams that treat SAM as their full answer end up confident about SharePoint and blind everywhere else, which is arguably worse than being uncertain about all of it.

Tenant-wide governance has to mean every workload, not the one Microsoft happened to ship an add-on for this year.

4. How TeamsFox Closes the Gap

TeamsFox was built around a simple premise: Microsoft Provides Controls. We Provide Control. Native tools, including SAM, give you reporting inside the boundary of a single workload, refreshed on Microsoft’s schedule. TeamsFox correlates evidence across the entire tenant, licensing, storage, and governance signals together, continuously, with file-level granularity rather than surface-level metrics.

Customers running TeamsFox across their estate cut storage costs by 40% on average by surfacing redundant, obsolete and trivial data wherever it sits, not just in SharePoint. The same engine that finds ROT data in a forgotten OneDrive folder also flags an over-shared Teams file or a stale guest account, because TeamsFox does not stop looking at the workload boundary.

That is the difference between a storage optimisation tool that reports on one corner of the tenant and one that gives you the full picture.

5. Evidence Beats Signals

SAM’s reports are a genuine improvement over guesswork, and we would rather every TeamsFox customer had it switched on than not. But a report that tells you a site looks risky is a signal. Knowing exactly which files, which permissions and which users created that risk, and being able to act on it without opening five different admin centres, is evidence.

Competitors’ Surface Signals. We Surface Evidence. That distinction is the entire reason TeamsFox exists alongside Microsoft’s native tooling rather than instead of it. SAM narrows the SharePoint problem. TeamsFox closes the rest of the tenant.

Frequently Asked Questions

What is SharePoint Advanced Management?

It is a Microsoft 365 add-on that gives admins lifecycle policies, oversharing detection and metadata visibility for SharePoint Online and OneDrive, including a Content Management Assessment hub aimed at preparing tenants for Copilot.

Does SharePoint Advanced Management cover Microsoft Teams or Power Platform?

No. SAM is scoped to SharePoint Online. Teams, Power Platform, Copilot Studio agents, and other Microsoft 365 services sit outside its reporting, even though they routinely read and write the same underlying content.

How much does SharePoint Advanced Management cost?

Market pricing in 2026 puts the add-on at roughly $3 per user per month on top of an E3 licence, and Microsoft generally expects it to be licensed tenant-wide rather than per active user.

Do I still need TeamsFox if I already have SharePoint Advanced Management?

Yes, if you want governance that extends past SharePoint. TeamsFox is not a replacement for SAM. It is the layer that covers licensing, storage and governance across the workloads SAM does not reach.

What is the difference between SharePoint Advanced Management and TeamsFox?

SAM is a native, single-workload reporting tool. TeamsFox is a tenant-wide platform that correlates file-level evidence across SharePoint, Teams, storage, and licensing, with continuous monitoring rather than point-in-time reports.

Conclusion

SharePoint Advanced Management is a welcome upgrade, and it solves a real problem inside SharePoint Online. IT teams that have struggled with sharing sprawl and Copilot readiness will get genuine value from it. None of that is in question.

What is in question is whether one workload’s worth of governance is enough for a tenant where content, permissions and now agents move freely between SharePoint, Teams, Power Platform and Copilot. SAM was never designed to answer that question, and Microsoft has not claimed otherwise.

TeamsFox exists for the parts of the tenant that SAM cannot see. The two are not competitors. SAM narrows the risk inside SharePoint. TeamsFox gives IT teams the tenant-wide evidence to know whether that risk has simply moved next door.

Organisations that pair native tooling with tenant-wide visibility get both: Microsoft’s improved controls and the control to act on what those controls cannot show them.
