Most Microsoft 365 environments grow faster than the teams managing them. A new Teams workspace here. A SharePoint site with permissions copied from another. Guest users added for a project that ended six months ago. Nobody planned for any of it to become a problem.

And yet, by the time an IT manager notices an issue, the damage is often already done. A licence has been paying for an account that left the company. A guest still has access to a sensitive folder. A department has been using an unlicensed third-party app to work around a gap in permissions.

Microsoft 365 governance visibility is the missing piece. The root cause is not incompetence. It’s a lack of visibility. Microsoft 365 native reporting gives you data in snapshots. You can pull a report, but it’s already out of date by the time you act on it. The tenant moves faster than the tools.

1. The Microsoft 365 Governance Visibility Problem: Flying Blind in Your Tenant

“Microsoft provides controls. We provide control.” The distinction matters. Controls are levers you can pull when you know what to pull. Control means knowing what is happening in your tenant, right now, without having to ask for it.

Real-time Microsoft 365 governance visibility means every licence assignment, every storage change, every permission modification registers immediately. No scheduled report to wait for. No data that’s already out of date before you act.

Microsoft 365 Admin Center, Purview, and the Microsoft 365 usage reports are powerful. But they’re designed to give you a view of your tenant at a point in time, for a specific question you already thought to ask. They don’t watch your tenant for you.

The Microsoft 365 usage data expires after 180 days by default. If you want to know what a user was doing eight months ago, you need to have enabled M365 audit log retention in advance. Most organisations haven’t. They discover this at exactly the wrong moment.

RISK: M365 audit log retention defaults to 90 days for most licence tiers (180 days with E5 or Microsoft Purview add-on). If extended retention has not been configured, historical compliance evidence may not exist when you need it.

TeamsFox maintains its own persistent record of tenant activity, independent of Microsoft log retention limits. Historical compliance data is available when you need it, not only when you thought to preserve it.
